Configure permissions for workforce management

Workforce allows managers and staff supervisors to adjust permissions for Workforce Management, ensuring that only authorized personnel have access to modify schedules and other employee information.

Start from: The Workforce module.

  • Navigate to Settings > Roles.

On the Roles screen, you will find a list where you can view each created role, the areas they can access (Menu and Submenu), and the permissions (Action) they may have for each. The switch at the end of the row indicates if the permission is active (blue switch) or inactive (grey switch).

To create a new role:

  • Select the Roles button.
  • Enter a name for the role in the text field and click the Add + button.
  • Back in the roles list, look for the new role or use the Filter function to make your search easier.

Notes: The Filter function allows you to narrow your search not only to roles, but also to specific areas and actions you wish to edit.

  • Find the areas you want to grant access to and specifically the type of access you will grant.
  • Select the switch to enable or disable access.

Notes: You can use the Enable All or Disable All buttons to perform a bulk activation according to the filter you have set.

Permissions

Action Description
Access Grants access to the employee management page.
Create Allows creating employees.
Edit Personal Data Allows editing personal data.
Create/Edit/Delete Warnings Allows viewing and editing the Warnings section, located in Employment information.
Access Employment Information Grants access to the employee's employment information, including work periods and employment situations.
Create Work Period Allows creating work periods.
Edit Work Period Allows editing work periods.
Delete Work Period Allows deleting work periods.
Edit Start Date Allows editing the start date of a work period.
Create Employment Situation Allows creating new employment situations.
Edit Employment Situation Allows editing employment situations.
Delete Employment Situation Allows deleting an employment situation.
Edit Termination Allows only editing the termination date of a work period. If it does not have a defined date, it cannot be set unless the user has the Assign Termination Date permission.
Assign Termination Date Allows only setting a termination date for a work period that does not have one.
Access (Proposals 2.0) Grants access to the Proposals module. If disabled, the user cannot see or enter this functionality.
Create proposal Allows creating new proposals from the + New proposal button.
Accept proposal Allows approving a proposal. Typically applies when the proposal has been reviewed and validated.
Reject proposal Allows rejecting a proposal. Used when the proposal is not valid or contains errors.
Supervise proposal Allows marking a proposal as supervised, indicating it has passed through a prior review process.
Request proposal information Allows returning the proposal to request more information or corrections.
Delete supervised proposal Allows deleting proposals that have already been supervised. This permission is typically more restricted, as it affects already-reviewed proposals.
Delete unsupervised proposal Allows deleting proposals that have not yet been supervised. This is normally a more flexible permission.
Edit supervised proposal Allows modifying proposals that have already been supervised. This permission should be used with caution, as it involves changing already-reviewed information.
Edit unsupervised proposal Allows modifying proposals that have not yet been supervised. This is the most common case during the initial phase of a proposal.
